MOTAT Board Secretary

The Museum of Transport and Technology (MOTAT) is New Zealand's largest and leading transport and technology museum. The scale and history of the MOTAT collection is significant, and is of regional and national importance. Every year MOTAT attracts hundreds of thousands of visitors who enjoy a unique and vibrant experience.

MOTAT is a Public Benefit Entity and registered charity which is supported by the Museum of Transport and Technology Board consisting of ten board members elected and operating in accordance with the MOTAT Act 2000.

Working closely with the MOTAT Board Chairman, the MOTAT Board Secretary manages the secretariat to support the operations of the MOTAT Board by providing high level administrative support.

The MOTAT Board Secretary is responsible for attending all MOTAT Board meetings ensuring accurate minutes of meetings are taken and approved, and that records of the MOTAT Board are maintained as required by law and made available when required to authorised persons.

This position also ensures all MOTAT Board meetings are compliant in accordance to the Local Government Official Information & Meetings Act 1987 (LGOIMA), and compliant in relation to legislation relevant to MOTAT and MOTAT Board Business, namely MOTAT Act 2000, The Local Authorities Members Interests Act, Local Government Official Information and Meetings Act, Protected Disclosure Act and the Ombudsmen Act 1975.

The MOTAT Secretary maintains and manages official records and provides general administrative support to the MOTAT Board Chairman as requested, in addition to coordinating arrangements for the monthly MOTAT Board meetings.

We are looking for an individual who has demonstrated experience managing the secretariat of a non-profit Board who is confident, diplomatic, tactful and discreet and has the following skills, knowledge and experience:

  • Intermediate to advanced MS Office Skills
  • Database management (Excel) and mail merge skills
  • Excellent communication skills including ability to engage and interact effectively with all parties
  • Good knowledge and understanding of relevant legislation
  • Sound organisational skills
  • Ability to record accurate minutes of meetings at a senior level
  • High level of accuracy and attention to detail
  • Ability to work autonomously and with independence.
